Now, with just four days to go, the Mask Events team is buzzing with activity as we put the finishing touches on this highly anticipated event.

This week has been a whirlwind of organisational tasks, all meticulously planned and executed to ensure a smooth and successful event experience for everyone involved. Here’s a glimpse into the final push:

Tying Up Loose Ends: Permits and Collaborations

1. Permits Secured: We’ve finalised all necessary permits with the council, ensuring everything is in place for a safe and compliant event.

2. Stakeholder Summit: A comprehensive stakeholder meeting was held. Representatives from local government, fellow event organisers, public services (including emergency services), transport services, and those involved in the road closure process all came together to discuss final details and ensure seamless collaboration on event day.

3. Weekly ZEN Inc. Meetings: Our regular meetings with Zero Emissions Noosa Inc. (ZEN Inc.) have been instrumental in keeping everyone aligned and on the same page.

Confirming the Essentials

4. Supplier Shoutout: We’ve confirmed all our amazing suppliers, from restroom facilities and event barricades to the talented musicians and buskers who will add to the festive atmosphere. Staging, exhibitor hire requests, and all logistical needs have been secured to really support the event delivery.

Empowering Our Volunteers

5. Volunteer Ready: We’ve created comprehensive volunteer documentation, ensuring everyone has the information and training they need to contribute effectively on event day.

6. Site Savvy: This week saw the finalisation of detailed site maps, bump-in/bump-out schedules, and a planned logistical framework for the event setup and packdown.

Communication is Key

7. Exhibitor Engagement: We’ve been busy connecting with all our exhibitors, providing them with essential documents and ensuring they have everything they need for a successful showcase.

8. Print Perfect: Sustainable printing practices were a priority! We’ve minimised printed materials and produced only what’s absolutely necessary for signage, volunteer guides, and the bump-in process.

Spreading the Word

9. Traffic Talk: The final communication regarding the event management and traffic plan has been disseminated to all stakeholders, ensuring everyone is aware of the road closures and pedestrian access points.

Prioritising efficiency, meeting deadlines, and minimising our environmental footprint were key throughout the planning process. By streamlining communication, optimising resource allocation, and embracing digital solutions, we’ve ensured a smooth and sustainable approach to event management, in collaboration with Zero Emissions Noosa Inc. (ZEN Inc.)
